Airtable bases, Interfaces, and AI fields — the operational data layer your business actually runs on

Most service businesses run on spreadsheets that have grown into a CRM, a project tracker, an inventory system, and a billing log all at once. Airtable is the right answer when the spreadsheet has clearly outgrown itself but a custom database is overkill. We build production Airtable bases with Interfaces, AI fields, sync layers to your CRM and Stripe, and the boring infrastructure that makes operational data trustworthy.

Airtable
▸ Our verdict on Airtable

Airtable is the right pick when (1) your operational data is too complex for a spreadsheet but too simple for a custom Postgres + dashboard, (2) you need non-technical teammates to edit records, and (3) you can live with Airtable's API rate limits. Above ~50k records or with heavy reporting needs, look at Postgres + Retool / Internal. Sweet spot: 1k–50k records, mixed-skill team, syncs to CRM + Stripe.

What we deliver

What our Airtable engagements cover

Standard scope. Custom scope available on the audit.

Schema + base design

Linked records, typed fields, junction tables, rollups + lookups. Built so it does not collapse when you add the next 10 things.

Interfaces + portals

Internal team portals + lightweight client portals via Interfaces. Custom views, conditional permissions, edit-in-place forms.

AI fields + automations

AI summarize long-text fields, classify records, extract entities, score leads. Native automations + Make/n8n for anything beyond.

Stack sync

Bidirectional sync with GHL, HubSpot, Stripe, Slack, Notion, Salesforce. Operational data flows in both directions, not just out.

Engagement model

The math

Spreadsheet ops vs Airtable + Interfaces

A spreadsheet that has grown into a CRM, project tracker, and inventory system is fundamentally untrustworthy data. Airtable plus Interfaces gives you typed records, role-scoped editing, and reliable automation triggers — without the cost of a custom Postgres + Retool build.

Spreadsheets break around 10k rows · become unusable around 25k
Custom Postgres + Retool: $50k–120k build, $1k+/mo ongoing
Airtable Pro + Interfaces: $20–24/seat/mo · smooth to 50k records
Build cost typically $1,997–$4,997 vs $50k+ for a custom equivalent

Sync

Client data synced between Airtable (project ops) and GHL (CRM + automation). Conflict resolution rules so neither side corrupts the other. PMs work in Airtable, sales works in GHL.

Migration

When this fits

Honest scope — and who shouldn't engage

Airtable wins between spreadsheets and custom databases.

✓ Engage when
  • 1k–50k records, mixed-skill team
Sweet spot. Non-technical editors can work; data stays trustworthy.
  • You need Interfaces / a lightweight portal
Native Interfaces builder replaces $20k+ Retool builds for most use cases.
  • You sync to multiple external systems
Native + Make/n8n integrations make Airtable a great central data layer.
✗ Don't engage when
  • Over 50k records or heavy reporting
Postgres + Retool / Internal will win on performance and reporting.
  • Side projects or simple lists
Airtable is overkill. Use Notion or Sheets.
  • You hit Airtable API rate limits
Sync-heavy use cases that exceed limits need a real database with proper rate handling.
Pricing depends on scope

Every Airtable build is a different shape.

We don't quote off a feature checklist — we quote off your stack, your bottleneck, and the build phases that actually move revenue. The audit is the front door: free, 7-day costed roadmap, vendor-neutral.

FAQ

Questions before we start

Should I use Airtable or build a real database?+
Airtable if (1) your team includes non-technical editors, (2) record count stays under 50k, (3) reporting needs are dashboard-level not analytics-level. Real database (Postgres + Retool) if (1) every editor is technical, (2) over 50k records, (3) you need real analytical SQL.
Can you sync Airtable with my CRM?+
Yes — most common engagement. Bidirectional sync with GHL, HubSpot, Pipedrive, Salesforce via native integrations or Make/n8n. We design proper conflict resolution so the sync does not corrupt data when both sides edit the same record.
What about Airtable AI fields?+
Airtable AI fields are useful for summarizing notes, classifying records, and extracting entities from long text. Beyond those use cases, we wire OpenAI/Anthropic via Make or n8n for more control over prompts, models, and cost.
Will it scale?+
Smoothly to 50k records per base, with care to 200k. Above that, we recommend Postgres + a sync layer. Most clients never hit the ceiling — they stay on Airtable and outgrow other tools first.
What does it cost?+
Full build $1,997+ (multi-base with sync + AI fields). Migration off spreadsheets $1,497+ depending on data complexity. Retainer $797+/mo for ongoing schema evolution + new automations.
